Approvals & AI Personalization
Review signal-aware messages, control how AI writes, or let trusted campaigns run on autopilot.
How Personalization Works
NetworkHQ writes outreach around the actual reason a lead surfaced. It combines the buying signal, ICP match, lead profile, company context, recent activity, and your product information to decide what is relevant to mention.
A message might reference a post the lead engaged with, a keyword discussion they joined, engagement with a tracked profile or company, a recent job change, funding, or recent LinkedIn posting. The goal is to explain why the conversation makes sense now rather than applying the same template to every person.
The Approval Queue
Open Approvalsto review AI-personalized direct-message sequences across the workspace. You can also open the approval tab inside a campaign to see only that campaign's leads.
Select a lead to view the complete sequence, including the current message and later follow-ups. The queue keeps the lead and campaign together so one decision can cover the pending sequence instead of treating each message as unrelated copy.
Review a Message
- 1
Open a pending lead
Choose a lead from the queue and read the full proposed message sequence.
- 2
Check the context
Confirm that the signal, lead profile, company details, and campaign make the message relevant.
- 3
Edit when needed
Change the subject or message text directly. Saved edits remain attached to that sequence stage.
- 4
Approve or do not contact
Approve the sequence to let it continue, or mark the lead do not contact when outreach should stop.
Approval States
Pending
A personalized message sequence is waiting for someone on your team to review it.
Auto-approved
The campaign approved the message automatically, and it remains visible until it sends.
Approved
A workspace member reviewed and approved the message. It remains editable until it sends.
Do not contact
The lead or sequence was rejected and will not continue through outreach.
Approval Mode or Autopilot
Keep automatic approval off when you want every AI-personalized sequence to wait for review. This is useful for a new product, audience, signal strategy, or writing style because your team can inspect the results before messages begin sending.
Turn automatic approval on when the campaign rules and generated messages are consistently producing the quality you expect. Auto-approved messages remain visible in the queue until they send, so you can continue monitoring and editing them.
Recommended: Begin in approval mode, review a representative set of messages across different signals, and enable autopilot only after the output is reliable without routine editing.
Personalization Controls
Configure the campaign's AI setup with the context and rules NetworkHQ uses:
- Product details that give the agent the right business context
- The campaign objective the generated sequence should work toward
- The message type configured for each message node
- Must-include phrases required in a message
- One campaign-wide setting for manual or automatic approval
What to Check Before Approving
- The message uses a real signal and does not invent an activity or relationship
- The opening explains why the outreach is relevant without overexplaining the research
- The product connection matches the lead's role, company, and likely priorities
- The message sounds like your team and can be understood without internal context
- The call to action fits the lead's apparent level of intent
- Later follow-ups add a useful angle instead of repeating the first message
